Checklist for Board Members Attending Monthly Chapter Presentations


Before Arrival (30 minutes before start of presentation)

Make sure you have

  • Receipt Book (for non member payments)
  • Biopic of presenter
  • List of Attendees (Shows non members) from Nancy
  • Membership Leaflets (For non-members)

On Arrival

  • Non Members
  • Identify and obtain the non-member admission fee
  • Issue receipt
  • Ensure you extol the benefits of membership
  • Speaker
  • Identify and ensure that all the technology is working
  • ensure all other materials that the speaker requires are available
  • Establish how speaker wants to handle questions
  • Find out the situation with handouts – if there are none available, ensure that the speaker understands that he should provide a copy for the website, otherwise, ask if the speaker will e-mail if attendees leave their e-mail addresses
  • Ensure that the speaker is aware of and willing to do the article for Datawatch, and find out when we can expect it

Addressing the Meeting

  • Introduce Self
  • Chapter Messages
    • Next Meetings, any other events
  • Introduce Speaker, inc biopic
  • Talk about subject, including reference in CObIT
  • Questions, Handouts

After the Presentation

  • Keep an eye on the time during questions
  • Thank the speaker and lead the applause
  • If no handout, ensure the audience knows that the presentation will be available on the website
  • Talk about next technical presentation
  • Remind attendees to submit articles to Datawatch (there is a page on the web under publications for more info), and that they get CPE points for doing that"
  • Point the audience to the refreshments
  • During networking, try to talk to non members and make them feel welcome
  • Have a drink!
