13.2.  Administration Procedures

Membership:

Under this heading I include the following:

  • Handling renewals and new members
  • banking incoming cheques,
  • processing renewal forms and application forms
  • liaison with membership in the USA
  • organising payment
  • passing on relevant charges
  • passing on CISA CPE hours
  • dealing with anomalies (many cheques arrive without any information attached, these have to be tracked down, cheque for wrong amounts, remittance forms but no cheque, remittance forms with credit card details etc).
  • Handling the membership database
  • importing updated monthly roster disk
  • if the disk is late, arrange for it to be emailed from the USA
  • dealing with address changes
  • courtesy members
  • Other membership related problems:
  • Members who claim they have paid, but I have no record of them doing so.
  • Dealing with the at large listing
  • Dealing with transferring members in
  • Weekly liaison with membership in the USA.
  • Membership Packs (shared between membership and CISA). As per instructions from a previous committee, I was told to only send these out when ALL information could be included. Put together packs when the information is finally available:
  • CISA Bulletin
  • Letter from the President
  • Up-to-date membership application form
  • ISACA London Chapter brochure
  • CISA Review Course details (only available for the last minute packs)
  • Joining packs/welcome packs. I was told to drop these some time ago because of the expense.
  • Keeping ‘register’ of attendees at the monthly meetings in case of audit by the Certification Dept.
  • Taking meeting bookings and passing on to KPMG

13.3.  CISA:

  • Keep a waiting list of people interested in receiving information.
  • Put together the information/membership packs once the CISA Bulletins finally arrive.
  • Deal with all the telephone queries/emails regarding CISA. Most frequently asked questions as follows:
  • Can you send me the syllabus?
  • I want to re-badge to computer audit, how do I do it?
  • Where will the exam be held?
  • How do I do CPE hours?
  • Can you lend me the CISA Review Manual?
  • Why can’t I register for the exam with you and not the USA?
  • Why can’t I buy books from you?
  • Deal with CISA Review Course:
  • Organise photocopying and distribution of advertising material to London Chapter membership and names on my CISA database
  • Handle bookings, payments, joining instructions etc.

13.4.  Publications

13.4.1.  Mailshot:

  • Chase copy from President for his monthly report.

  • Chase copy for the details of the upcoming meeting.

  • Check minutes to see if anything needs to go in.

  • Liaise with SIGs as necessary

  • Find fillers where necessary

  • Write fillers where necessary

  • Type up and layout.

  • On occasion deal with advertisers (e.g. Auditware, MIS Training) to enclose material with Mailshot.

  • Arrange and collect photocopying.

  • Collect envelopes

  • Arrange ‘stuffing’

  • Produce labels from database

  • Reload franking machine

  • Label and frank envelopes

  • Deliver to main post office for onward despatch.

  • Invoice advertisers where necessary.

Problems

  • Problems occur because I do not usually receive the information to go into the Mailshot until the Thursday of Friday before the chapter meeting. This consequently means I have to work over a weekend to ensure that the Mailshot hits the membership before the meeting. I constantly receive complaints from members that they did not have enough notice. I handle this by reminding them that the programme of events is printed every month. Having said this, it was not the case until last ……. If the information is received on time the whole process is very smooth. I have a small team of helpers that turn the distribution around extremely quickly.

  • I have found that the advertisers who usually have flyers enclosed with a Mailshot pay relatively promptly. Late payment is virtually exclusively a Direct Mailing problem.
